Job Description

Sierra Executive Solutions, Inc. (SES) is a 3rd party search firm recruiting for a client company's Receptionist / Administrative Assistant career opportunity based in S. Reno. This is an on-site position and not remote nor hybrid. Only local No. Nevada candidates will be considered as there is no relocation support for this role.

Position Summary

The hiring company is a constantly growing business with the need for an energetic, self-starter who is able to effectively multi-task and willing to take on new projects and tasks. They are seeking a reliable and professional Receptionist / Administrative Assistant to join our corporate office team. As the first point of contact for visitors and callers, the Receptionist will play an important role in providing exceptional customer service and assistance to visitors and fellow team members. In addition to standard receptionist duties, this position will also involve tasks such as reviewing daily transactions of our retail store locations.

Essential Duties and Functions

  • Greet and welcome visitors, clients, and employees in a warm and professional manner.
  • Answer incoming calls, direct calls to the appropriate individuals, and take accurate messages when necessary.
  • Provide general administration support, including photocopying, scanning, file room management, preparing outgoing packages and filing documents as needed.
  • Conduct regular reviews of the daily transactions from stores, ensuring accuracy and compliance with company policies and procedures.
  • Prepare reports summarizing audit findings and communicate any discrepancies or concerns to the appropriate personnel.
  • Collaborate with various departments to gather and provide relevant information as requested.
  • Proactively address and resolve any visitor or caller concerns or issues in a timely and professional manner.
  • Maintain up-to-date knowledge of company policies, procedures, and personnel to assist visitors and callers effectively.
  • Assist in scheduling appointments and coordinating meetings, conferences, and other events.
  • Receive, sort, and distribute incoming mail and packages.
  • Manage the reception area, ensuring it is clean, organized, and well-maintained.
  • Ensure confidentiality and discretion.
  • Perform other duties as assigned.

Basic Qualifications

  • 1+ year of work experience as a Receptionist or Administrative Assistant or in a similar role is preferred. Entry level High School or College graduates are also welcome to apply.
  • Exposure to accounting concepts preferred.
  • Experience in Microsoft Office and QuickBooks a plus

Education

  • High School Diploma or equivalent required.

Physical Job Requirements

  • This position requires the ability to remain in a stationary position (standing and/or seated) a majority of the time.
  • The person in this role must be able to position him/herself (ex: kneel, crawl, crouch down) to fulfill the essential functions of the role less than half the time.
  • The person in this position must be able to maneuver (lift, move, carry, slide, etc.) up to 50 lbs.
  • This position operates machinery and/or equipment that requires the constant use of hands/fingers/wrists (ex: typing) all of the time.
  • This position requires the ability to spend all of the time viewing computer monitors.
